What personal data we collect and why
Enquiries and quote requests
When you submit a contact form or request a quote, we collect the information you provide, typically your name, email address, phone number, event date, and event details, so we can respond to your enquiry and prepare a quote.
Orders and bookings
When you place an order or hire booking, we collect the information necessary to process it: your name, billing and delivery address, email, phone number, and order details. Payment is processed securely by our payment provider (see “Payments” below); we do not store your full card details on our servers.
Account information
If you create an account on our site, we store the information you provide in your profile. You can view, edit, or request deletion of this information at any time by contacting us.
Payments
Payments made through our website are processed by WooCommerce Payments, powered by Stripe. When you make a payment, your card details are sent directly and securely to our payment provider and are not stored on our servers. Cookies
Our site uses cookies that are essential for it to function correctly:
- Shopping cart and session cookies. These remember the items in your cart and keep you logged in while browsing.
- Preference cookies. These remember choices you’ve made, such as currency or display settings.
If you visit our login page, a temporary cookie is set to check whether your browser accepts cookies. It contains no personal data and is discarded when you close your browser.
We do not currently use analytics, tracking, or marketing cookies. If this changes in future, this policy will be updated and a cookie consent option will be added to the site.
Embedded content
Pages on our site may include embedded content from other websites (for example, videos or maps). Embedded content behaves exactly as if you visited that other website directly, and that website may collect data about you, set its own cookies, and track your interaction with the embedded content.
Who we share your data with
We share your data only where necessary to fulfil your order or enquiry, including with:
- WooCommerce Payments, to process payments securely
- Delivery/courier partners, to arrange delivery and collection of hired items
We do not sell or rent your personal data to third parties for marketing purposes. We do not currently use a mailing list or newsletter service. If this changes, this policy will be updated to reflect it and you will be given the choice to opt in.
If you request a password reset, your IP address is included in the reset email for security purposes.
How long we retain your data
We retain order and enquiry information for as long as necessary to fulfil the purpose it was collected for, and afterwards for as long as required by UK tax and accounting law (currently 6 years for financial records).
If you have an account with us, your profile information is retained until you ask us to delete it, subject to any legal retention obligations.
Your rights over your data
Under UK GDPR, you have the right to:
- Request a copy of the personal data we hold about you
- Request that we correct inaccurate data
- Request that we erase your data, where we are not legally required to keep it
- Object to or restrict certain processing of your data
- Withdraw consent at any time, where processing is based on consent

Where your data is sent
Enquiry and order data may be checked through automated spam and fraud detection services as part of WooCommerce Payments’ fraud prevention.
Changes to this policy
We may update this privacy policy from time to time, for example when we add new features such as analytics, marketing tools, or a mailing list. Any changes will be posted on this page.
